What should an interior quotation include?

• Project details: quotation number, date, revision, validity, client name and site address.
• Room-wise scope: separate kitchen, bedrooms, living room and other areas so each item has a clear location.
• Material specifications: board type and thickness, finish, hardware, brand where agreed, and installation scope.
• Measurements and pricing: dimensions, measurement basis, unit, quantity, rate and line total.
• Commercial terms: discounts, applicable taxes, delivery charges, payment milestones and quotation validity.
• Boundaries and approval: exclusions, expected schedule, variation process and written client acceptance.

Sample interior design quotation format

This small worked example shows the calculation format. The quantities and rates are illustrative only; they are not market prices or a quote for your project.

Calculation: quantity × unit rate = line amount. Add line amounts for the subtotal, then show agreed discounts, applicable taxes and other charges separately to reach the final quotation total.

State whether square feet refer to the front elevation, surface area or another agreed measurement method. Do not mix running feet and square feet without explaining the basis. Attach specifications to every quoted item.

How to prepare a quotation for interiors

1. Confirm the brief and measurements. Record each room, the client's requirements and site constraints.
2. Break the work into items. Separate cabinets, shutters, hardware, finishes and other work when they have different specifications or rates.
3. Price the agreed specification. Check supplier and labour costs, installation, transport and your margin before committing to a rate.
4. Review totals and exclusions. Make it clear whether civil work, electrical work, appliances and loose furniture are included.
5. Share a dated revision. Review the PDF with the client and record approval before ordering materials or starting work.

Preparing a 2 BHK or 3 BHK interior quotation

Start with the actual rooms and scope instead of a single flat price. List the kitchen, each bedroom, living and dining areas, and any utility or additional spaces. For each room, specify the furniture, storage, finishes and installation required.

Two homes with the same number of bedrooms can have very different quotations because dimensions, materials, hardware and scope differ. Keep optional upgrades separate so the client can see how each choice changes the budget.
